Flexible seating host - JolaPhone

How this Feature will help you

It allows you to turn a Device into a hot desking phone. Users with the Flexible Seating Guest Feature can then temporarily log in to the Device to make and receive calls, while displaying their own number.

How to set up and use this feature

Click on the Flexible Seating Host settings icon on the Features page.


Click the ‘Add hosts’ button.

Host details

Type in a name for the host Device. Doing so will automatically fill in the ID field.

Select a number from the drop-down menu.

Type in the extension number if required.

In hours, type in how long before the User is logged off from the host Device. The maximum is 24 hours.

From the drop-down menu, choose if all ‘Users on this Site’ or all ‘Users in the Company’ can access this Device as a Flexible Seating Guest.

Click the ‘Continue’ button.


Add Device

Type in a Device name. We recommend you include you name it as something identifiable, i.e. Flex Host, Desk 1. This name cannot be edited once saved.

Select the model of the Device from the drop-down menu.

Type in the MAC address.

Click the ‘Continue’ button.

Summary of hosts to be created

Your host Devices are displayed in a table.

To edit an existing one, click the ‘Name’.

To delete a host Device, click the minus symbol at the end of its line.

You can create more by clicking the ‘Add another host’ button.

Hit ‘Create hosts’ when you’ve finished.


A reminder will appear saying you now need to manually configure the Flexible Seating URL for each Device.


Your request to set up this Device as a Flexible Seating Host will then appear in the ‘Request’ tab. It may take some time for it to show on the list.


How to set up and use this Feature – on an IP Phone

After setting up a host Device on the Business Portal, you need to manually configure the Flexible Seating URL on the IP Phone. 

Configuring a Polycom for Flexible Seating Guest

Use the handset menu to enter the Flexible Seating Provisioning Server Address: 

  • Connect the phone as required and power on
  • On the Home screen locate the Settings icon/button
  • Select Advanced
  • Enter the password 456 and select Enter
  • Select Administration Settings…
  • Select Network Configuration…
  • Select Provisioning Server…
  • Select Server Type and set HTTPS
  • Select Server Address and enter either of the following, depending on the handset you are configuring
  • Tap Back a few times and choose Save Config

The phone will now reboot and it will now redirect itself to the WHC provisioning servers to collect its Flexible Seating configuration.  The device may power cycle several times whilst installing software and processing its configuration.Please note that on successful retrieval of the configuration, the Web Configuration Utility will no longer be available and the default password will be changed.

  • Use the handset menu to enter the Flexible Seating Provisioning Server Address: 
  • Connect the phone as required and power on
  • On the home screen press the Menu soft key button
  • Use the soft keys or dial pad to navigate to Settings > Advanced menu
  • Use the dial pad to enter the password admin and then press the OK soft key
  • Select option Auto Provision
  • Using the dial pad enter either of the following, depending on the handset you are configuring:
  • Confirm that you want to provision now by pressing the OK soft key
  • The handset will request its software and configuration files. The device may power cycle whilst installing software and processing its configuration. If successful, the line provisioned will register for service.

Please note that on successful retrieval of the configuration, the Web Configuration Utility will no longer be available.

Additional information

A Host device until logged into, is only capable of making emergency services calls and Voice Portal calls.  To be able to use the Host, a user will need to have the Flexible Seating Guest feature.
